THE BRIEF

The AFMA Summit & Expo brings together Australia’s fleet and automotive industry for two days of conference content, networking, exhibitions and industry events.



For the 2026 Summit at Rosehill Gardens, Eventspec was engaged to deliver the technical production across a busy program that included the main plenary, concurrent sessions, exhibition activity and gala dinner.

With 950 delegates, multiple spaces and content running across two days, the production needed to operate as one coordinated event rather than a series of individual rooms and sessions. The focus was on creating a consistent delegate experience while giving speakers, presenters and the AFMA team the technical support needed to keep the program moving smoothly.

WHAT WE DELIVERED

Eventspec delivered the complete technical production for the Summit, coordinating multiple event spaces and a program that moved from conference sessions and exhibition activity during the day through to the gala dinner and awards.

Across the two days, our team managed audio, vision, LED screens, lighting, staging, cameras and recording, together with technical direction, show calling and onsite production support. Presentations, video content, live polling and other screen content were managed throughout the program, ensuring speakers could move between sessions without the technical delivery getting in the way.

The main conference program was supported by concurrent breakout sessions, requiring multiple spaces to operate simultaneously while remaining part of one coordinated production. Our crew worked across each space, managing presenter content, audio, vision and session transitions while maintaining consistency across the event.

The Summit then transitioned into the gala dinner and awards, including live entertainment, presentations and awards content. Eventspec managed the technical changeover and show delivery, allowing the same venue to shift from a full conference environment into an evening event.

Behind it all was detailed pre-production, technical planning, content coordination and crew management, bringing the different elements together across two busy days.
